Flow AI Mobile App Privacy Policy
This policy explains which personal data the Flow AI mobile application (com.hyperflowrobotics.flow), developed by Hyper Flow Yapay Zeka ve Robot Teknolojileri A.Ş., processes, why it is processed, and how you can exercise your rights. A separate notice applies to the forms on this website: Personal Data Protection Notice.
1. Data Controller

2. Scope of the App
Flow AI is a business application. There is no public sign-up; accounts are created by administrators on behalf of organisations that operate HyperFlow robots, and the app is used only by employees of those organisations. The app shows no advertising, contains no advertising or tracking SDKs, and does not sell your personal data.
3. Personal Data We Process
Account and profile data: first name, last name, email address, phone number, job title, profile picture, language preference, email and notification preferences, together with the user role your organisation assigns to you and the locations/regions you are authorised to access.
Content you create in the app: support tickets you open and the descriptions you write, messages, scheduled tasks you create or edit, and a record of which user performed each action.
Photo attachments: if you choose to attach a photo to a support ticket, only the single image you select (max. 5 MB) is read from your gallery and uploaded with the ticket. The app does not scan your gallery, does not read images in the background, and cannot access any file you have not selected.
Notification data: to deliver push notifications, your device push token and OneSignal subscription identifier are processed. When you sign in, your user identifier is linked to OneSignal as an external ID so that notifications reach the right person.
Technical data: app version, operating system and device model, plus the IP address carried by requests that reach our servers.
4. Data We Do Not Collect
The app does not collect your location and does not access your contacts, calendar, microphone, SMS messages or call logs. No advertising identifier is used, no third-party ad network or analytics tracker is embedded, and your behaviour is not processed for profiling.
5. Purposes of Processing
- Creating your account, keeping you signed in, and authentication,
- Monitoring the robot fleet, scheduling tasks and displaying reports,
- Receiving, answering and tracking your support tickets,
- Sending push notifications about task, fault and ticket status,
- Keeping the app secure and fixing faults.
6. Legal Basis
Data is processed on the basis of performance of a contract, compliance with legal obligations, and our legitimate interests — Articles 6(1)(b), 6(1)(c) and 6(1)(f) GDPR, and the corresponding grounds in Article 5/2 of Turkish Law No. 6698 (KVKK). Push notifications depend on the notification permission you grant in your device’s operating system, which you can withdraw at any time in your device settings.
7. Sharing and Service Providers
Your data is processed on servers operated by Hyper Flow Yapay Zeka ve Robot Teknolojileri A.Ş. under the hyprflw.com domain. The following providers are involved only to the extent strictly necessary to deliver the service:
- OneSignal — sending push notifications,
- Google Firebase Cloud Messaging — delivering notifications to Android devices,
- Apple Push Notification service — delivering notifications to iOS devices,
- our hosting provider — server infrastructure.
These providers may operate servers outside Türkiye; such transfers are made under Article 9 of the KVKK and Chapter V of the GDPR. Your data is never shared with third parties for marketing purposes and is never sold.
8. Data Stored on Your Device
So that you do not have to sign in every time, your session tokens, user name, user type and the identifiers of the locations/regions you may access are kept in your device’s local preference storage. This record is created only if you tick “Remember me”, and it is deleted from your device when you sign out or uninstall the app.
9. Retention
Your account and profile data is retained for as long as your organisation’s subscription and your account remain active. After your account is closed, data is deleted or anonymised within at most [retention period], subject to statutory retention obligations.
10. Deleting Your Account and Data
To request deletion of your account and the data held about you in the app, send an email titled “account deletion request” to info@hyperflowrobotics.com from the email address registered in the app. Requests are completed within 30 days and the outcome is communicated to you. Because your account is created on behalf of your organisation, your organisation’s administrator may need to be informed before deletion.
11. Security
All traffic between the app and our servers is encrypted with HTTPS. Access is limited to the role and location permissions your organisation assigns to you, and your password is stored on the server in a form that cannot be reversed.
12. Children’s Data
The app is intended for business use, is not directed at people under the age of 18, and does not knowingly collect personal data from them.
13. Your Rights
You have the right to learn whether your personal data is being processed, to request information about it, to learn the purpose of processing and whether the data is used accordingly, to know the third parties to whom it is transferred in Türkiye or abroad, to request rectification of incomplete or inaccurate data, to request erasure or destruction where the conditions are met, to request that these actions be notified to third parties to whom the data was transferred, to object to a decision produced solely by automated analysis that works to your detriment, and to claim compensation for any damage suffered. 14. Changes to This Policy
This policy may be updated. When a significant change is made, you will be informed within the app; the effective date of each version is shown at the bottom of this page.
